NEW temp form instructions during Traction Rec software transfer  posted: Nov 9, 2023

ALL new memberships, changes, and cancellations will be done via paper documents and entered into Daxko from 11/10/2023 until the process is completed (projected Dec. 4th when we go live with Traction Rec).  

Nothing will save from Daxko that is put into the system starting 11/10/2023 but you need to enter it into Daxko to run the cards and keep track of transactions so you must fill out the paperwork as well as put into Daxko!  Take your time and make sure this information is correct. 

Youth Memberships REQUIRE an ADULT (parent) as a non-member.

When re-activating inactive members, make sure to add all household members on the paper form.  You may print out the members and staple with the application.  

For updating Credit Cards- Active members, you can update in Daxko and fill out the paper form, but do not need a signature if they call in.  If inactive member, they must be in person and fill out the paper form in full.

PLEASE PRINT A RECEIPT FOR ALL PROGRAM REGISTRATIONS AND PUT IN THE COMPLETED FORMS FILE 

Please ask people to use the app for their barcodes.  If they insist on a card, you will have to add the sticker to the application/change form.

If there is an add-on for lockers, make sure to document them on the stickers as well.

Financial Assistance 

The YMCA, within the limits of available funding, does not refuse membership or program services to any person because of inability to pay. 

Youth Age 0-18 

Young Adult Age 19-25

Adult Age 26-64 

Senior Adult Age 65 and over. 

Family/Household Two adults and children under the age of 24 in their household. Individuals must be living at the same address and are dependent for care and financial assistance. 

Senior Family/Household Two adults (either individual is age 65 and over), and all children under the age of 24 in their household. Individuals must be living at the same address and are dependent for care and financial assistance.

 Military Anyone currently employed full time by the US Military will receive the state or federal discount.

The new membership program being implemented in Dec, Traction Rec, will require an adult to be the primary for any youth memberships.  Please see the alerts in Daxko to add an guardian/parent to youth memberships in order to make this transition easier.  Thanks.MS

Guests sign Code of Conduct  posted: Aug 28th

NEW Guests will need to sign for the Code of Conduct.  This document will pop up automatically.

Existing Guests could be assigned a document if necessary.  

Steps:  Go to Daxko member information; Records drop down; Agreements; select Capture Agreement Box (in right hand upper corner); select the member from the dropdown; select B-Code of Conduct; Continue, obtain electronic signature.

New Child Watch Hours posted: Aug 3, 10:23am

Starting now the Child Watch slots will be cut back to 25 each hour.  Beginning Sept 1 the hours for Child Watch are 8:30am-12:30 and 4-7pm.  Ask Megan for more info.

Racquetball Courts Information June 1st, 2023 1:30 PM

Racquetball courts 4 and 5 will NOT be available to the public starting Thursday, June 1st through Wednesday, August 16th. The courts will be staged as classrooms for YDC for the summer. They will NOT be usable during that entire time.

Court 2 is for individuals that want to play wallyball/volleyball.

Court 3 is for racquetball.

 If communicated early enough, staff can put up the other next, but staff then needs to take it down once the individuals are done in that court.

Please change the court, not the color. 

Larks Players/Coaches June 6th 10:49am

Larks Baseball season is starting.

Players and coaching staff will be coming in to use the facility this summer.

We have communicated to them on how the process will go to get them activated in Daxko.

All players and coaches will be activated by only Jennifer Keller. If they come into the YMCA with their membership application, let them know that they need to give it to their Clubhouse Manager, Jake Adkins, and then he will scan it to Jennifer Keller. Once received, she will activate them. Jennifer Keller is the only one that will do this. Once they are activated, it is their responsibility to stop by the YMCA to get their picture taken and receive a barcode. Then they can access the facility. 

Their membership only allows them to access the YMCA, NOT Family Wellness. They also do NOT have access to the Fitness Locker Room with these memberships.

Also NO Day Passes for the Locker Room access as well. 

Summer Memberships (May 22nd-Aug 19th) May 22nd, 2023 8:00 AM

There are 2 summer memberships that individuals can pay for that will be active May 22nd-August 19th. There is no need to cancel this membership, it will become inactive by the last day. They must pay the full amount upon activation. The age of the individual will dictate if they are eligible for the summer membership.

Youth Summer (Age 0-18)

Young Adult Summer (Age 19-25) ***No longer college required. Only that their age falls within this requirement (19-25).

To activate someone for one of these memberships, look them up in Daxko. Select the correct membership desired. Complete the process like you would otherwise.

***DO NOT CHANGE THE EXPIRATION DATE. Jennifer Keller will make changes once they become active.

*Remember that when the summer membership expires, if they activate with another membership after, to not charge the join fee if they activate within 30 days of expiration.

YMCA Youth Triathlon April 24th, 2023 2:30 PM

YMCA Youth Triathlon will be held on Saturday, August 19th, 2023 at 9:00 AM. This will be a non-competitive event. Three age groups; 6-9, 10-13, 14-16.

Please refer to the MEMO document located at each computer, if anyone has any questions about time, age group, fee, distance, etc. There is also a FAQ sheet at each desk that you can give to the individuals asking questions. Members and non-members can register for youth triathlon.

Follow these steps to register the child/children for Youth Triathlon:

Each child must be registered to participate in the youth triathlon.

Member Incident Form April 24th, 2023 2:00 PM

We have updated our member incident form. Please be sure to fill out the information as best as possible. It prompts you through the process of gathering information. They are located in the same place as before (drawer with all of the folders at both desks) and are saved on the printer if you need more; ymca-accident-incident-form.

Raptor Reminder March 28th, 2023 1:00 PM

Be sure to run anyone 18 and older through Raptor. This also includes individuals that are currently inactive in Daxko, who you will be making active. The reason for this is they could have been convicted as a sex offender during the time they were inactive. 

Please get in the habit of running EVERYONE (18 years old and older) through RAPTOR, even if it is a day pass. We want to do our due diligence in making the facility as safe as we can for all ages.

Lowering Basketball Hoops March 22nd, 2023 9:45 AM

Hoops can be lowered upon request. Know which hoop lowering rod you need, there are 2 different types. Hoop lowering rods can be found in the sports closed in the northeast corner of Johnson Gym or copy/mail room.

Things to remember to share with the parents/guardians who request this for their children:

***ALL HOOPS MUST BE RAISED BACK TO 10FT AFTER USAGE

Do NOT leave hoops down, kids will dunk/hang on them, and that's how they get ruined.

Day Passes March 8th, 2023 8:00 AM

Reminder to always look at the individuals age, after looking them up in Daxko, and then charge them for the correct day pass according to their age. Please slow down and take the time to look at the age before you charge someone the wrong amount.

EX: If you I were to look up Jane Doe and it shows she is 16 years old, you would charge her $8 for a day pass. If you were to look up John Doe and it shows he is 32 years old, you would charge him $20 for a day pass.

YMCA360 is live. Please be sure to give this information to current and new members. There are 1/4 sheets to be handed out to people. REMEMBER: WE MUST GET AN EMAIL ADDED TO THEIR DAXKO PROFILES BEFORE THEY CAN ACCESS YMCA360 ON THEIR DEVICES. The 1/4 sheet shows the steps on how to put the app on their phone and access it on the website (ymca360.org). Please refer to the FAQ sheet located at each computer, for further information.

Membership Merging Reminder January 17th, 2023 5:30 PM

When you have two ACTIVE Adult memberships and they want to merge into one Family membership, you DO NOT create a duplicate of one of them.  You also DO NOT take a cancellation form for one of them.  They are not canceling, they are just merging. The only thing you do is take the Change form and email Jennifer Keller about the situation.

Redeeming a Gift Certificate (Paper) November 16th, 2022 9:40 AM

When members have paper gift certificates, they can use those as regular payment options for transactions, registrations, and membership payments. Some gift certificates are specifically for memberships only like the Holiday gift certificates and Seize the Deal certificates. Membership gift certificates cover the enrollment fee, prorated dues, and membership dues. Gift certificates have no cash value.

Transaction Payment

1.      On the Account Balance screen, find the transaction to apply the gift certificate to. This could be after registering an individual for a program.

2.      Click the dollar amount hyperlink in the Paid/Adj column.

3.      Select the Gift Certificates-Donated (Paper) adjustment.

4.      Enter the amount to apply from the Gift Certificate.

a.      Process the remainder of the fee with another payment option if necessary.

5.      If the Gift Certificate is empty, please make sure the member's name is on it, scan to Jennifer Keller, and then place in the Membership Director’s mailbox.

a.      If the Gift Certificate has a remaining balance, write the amount remaining with the date and your initials and return to the individual.

Membership Payment

A gift certificate can be used to set up a new membership or be applied to a monthly membership payment. When you use a gift certificate to make a membership payment, scan a copy of the gift certificate with the member’s name on it to Jennifer Keller and place the empty certificate in the Membership Director’s mailbox. Membership gift certificates have no cash value, so if they use less than the value listed, no credits will be given. For example, if someone has a Household membership gift certificate, but signs up for an Adult membership, they do not receive the difference as credit or cannot use the difference for add-ons like the Fitness Locker Room.

Gift Card Selling and Redeeming Process November 16th, 2022 9:00 AM

Gift cards bought at our YMCA/FW are only valid to be used at Missouri Valley Family YMCA (Bismarck) and Family Wellness in Mandan.

·         Can’t be used at other YMCA/FW facilities – EX: Can’t be used at either Fargo locations.

You can either purchase it under the purchaser or the person they will be gifting it to, but it needs to be done under an account. If the person does not have an account and neither does the person they are gifting it to, create a non-member profile for the purchaser.

Purchasing a Gift Card

1.    Search for the individual in Daxko Operations.

2.    Click on the blue $0.00 under balance due.

3.    Select Gift Cards.

4.    Select Purchase Gift Card.

5.    Gift cards are located in two drawers at the East Desk and in one drawer at the West Desk.

6.    Enter desired amount next to Gift Card Amount.

7.    Click in the box next to Gift Card Number and scan the back of the gift card.

8.    Select payment method.

9.    In NOTES, enter the gift card number and the amount; EX: Troy bought a gift card (CG123), the amount of $25.00.

Redeeming a Gift Card

1.    Search for the individual in Daxko Operations.

2.    Click on the blue $0.00 under balance due.

3.    Select Gift Cards.

4.    Select Redeem Gift Card.

5.    Scan the back of the gift card.

6.    The balance of that gift card will then be put on the individuals account and can be redeemed at the payment screen.

West Desk Duties November 7th, 2022 9:00 AM

Duties at West Desk, in addition to answering calls, helping members, etc:

Every 15 minutes, as long as there aren't any people needing assistance at the desk, please walk to the entrance of the gyms (double door entrance closest to the West Desk) and make yourself visible. Please monitor and be aware of what is happening in the gyms. Be sure to correct any bullying/behavior issues/code of conduct issues. If you need help from other staff, call to the East Desk and ask for someone to come over and address the issues.

It might not seem important to step away from the desk every 15 minutes to look into the gyms, but your presence is extremely important. There have been more bullying incidents happening lately. We won't catch everything, but being visible makes a difference.

This is in addition to other MS staff from the East Desk, most of the time it is the SOD, doing walkthroughs of the entire facility when they are able to.

Financial Assistance Applications October 17th, 2022 4:00 PM

Quick reminders when it comes to Financial Assistance Applications:

1. Do NOT accept an application unless it has supporting financial documentation attached. There is a list of what can be accepted as income verification/government assistance on the front page of the application if you are not sure or if the applicant asks what we need.

2. Do NOT accept documents if there is not a financial assistance application completed and turned in with them.

3. It can take up to two weeks to process the applications so please make sure that we are not telling the applicant it will be done in a couple of days. There may be times that Megan or myself are able to get them done sooner than two weeks but it is not always a guarantee based on our workload in other areas.

4. Megan and myself are the ONLY people that can process, accept or deny, the financial assistance applications, even the individuals who are with certain agencies that get 100% scholarship.

5.Do NOT scan the financial assistance applications to Jennifer Keller before they have been processed. Once they are processed by Megan or myself, we will be scanning them to Jennifer Keller.

6. Place any and all financial assistance applications in the mailbox labeled 'SCHOLARSHIPS', located in the copy room.

Close-out and Cash Drawer October 10th, 2022 4:00 PM

 After you clock in for your shift, grab your cash bag out of the drawer and take it with you to the desk that you will be working at.

 When you get to the desk you are working at, count the cash drawer, and make sure that it is the correct amount (cash drawer at West desk-$100; cash drawer at East desk-$250).

Any cash/check transactions that happen should be placed in your cash bag, do not put it in the cash drawer (cash drawer should always be $250 or $100 throughout the entire day, depending on which desk the cash drawer is located at). Example: If a charge a kid a day pass for $8 and they hand you a $20, put the $20 in the cash drawer, hand the kid $12 for change and put the $8 in your cash bag.

If you switch from one desk to the other, do a close-out (print the close-out and have the money in your cash bag) and count the cash drawer to make sure it is the correct amount.

When your shift is over, do a close-out (print the close-out and have the money in your cash bag) and count the cash drawer and fill out the change slip. Place both in your cash bag and place in the safe.

If you do not have a close-out, still count the cash drawer and fill out the change slip and place it in your cash bag, then place in the safe.

***If the cash drawer is over, take the amount it is over and put it in your cash bag with a note stating it was over, along with the change slip.

***If the cash drawer is under, take the amount it is under out of your close-out and place in the cash drawer. If you do not have a close-out, then take the amount it is under out of the cash bag in the safe and place it in the cash drawer. Be sure to make a note and put it in your cash bag along with the change slip.

Basic Orientation Sign Up October 7th, 2022 9:00 AM

 Be sure to ask individuals who are renewing or just starting their membership with us at the time of activation if they would be interested in signing up for BASIC ORIENTATION (free introduction to the machines in the Life Center with a Fitness Associate).

If they say yes, hand them the ¼ sheet ‘Basic Orientation Sign Up’ located at each desk and have them write their name and contact information on it. Then place that ¼ sheet in KENTON MANHART’S MAILBOX, located in the copy room.

If they say no, then continue through the membership activation process.

If a current member asks about Basic Orientation and how to sign up for it, hand them the ¼ sheet and have them fill it out and place it in Kenton’s mailbox.

If anyone has any questions or concerns about Basic Orientation, hand them Kenton’s business card.

Below are the details and responsibilities for managers of all three youth development centers. Please familiarize yourselves with who is in charge of what at each location so we are sending folks to the right person the first time. 

Kathleen Bilstand ext:706 (YDC)-Full and part time enrollment for Infant, toddlers and preschool kiddos, waiting list, tours for YDC, full time job openings, general questions, and billing.

Brandy Peterson ext:772 (YDC)-Child and Adult Care Food Program questions, General YDC questions, part time job openins.

Alyssa Pfliger ext:773 (YDC/Legacy)-Before and After school care for K-6th grade, Y explorers, camp nakota enrollment, program questions and hiring.

Incidents Involving a Minor August 11th, 2022 9:30 AM

 Any incidents involving a minor, where the minor is asked to leave the facility, we must contact the parent/guardian to inform them about the incident and that the minor was asked to leave the facility for the day. Please fill out an incident report and put it in Kia's mailbox. Please inform the parent that if there is further communication that needs to happen about the incident, that the Membership Director will contact them the following business day.

The Training Site will be accessible until Sunday morning, at which time the refresh will begin.

Data will be copied from your Live Site to the Training Site and all previous data created in the Training Site since the last refresh will be replaced with the data from your Live Site.

The refresh will have been completed by Monday Morning, at which time the Training Site will be accessible again.  Usernames and passwords will be the same on the Training Site as they are on the Live Site as of the date of the refresh.



CASH DRAWER ISSUES posted: Aug 7, 1:16 pm

Count drawers at the beginning of shift, put cash taken for Daxko into your bag, run report when shift over, count cash drawer to confirm correct balance. Deposit bag into safe.  If there is over/under please make a note for Donna explaining.  If you have vending payouts, use the petty cash receipt and put into the bag, reduce your total cash taken by that amount.  Donna will fix the deposit on her end.
